These apply to all bookings at West Moor Farm Equestrian (WMFE) and must be agreed to hirer prior to any event or hire. All riders and spectators must adhere to the following terms and conditions at all times.
Confirmation of any hire or entry into any class or competition is deemed to be acceptance of these terms and conditions.
• WMFE do not accept any responsibility or liability for any injury, accident, damage or illness to any person, property or animal whatsoever, or for any loss whatsoever, arising out of, or occurring during any use of the facilities, to the fullest permitted by law.
• All horses on site must be fully vaccinated for equine influenza and tetanus.
• It shall be a condition of use of any of the facilities on site that each user shall indemnify the owners, operators and any associated company or third parties against any claim or legal action whatsoever arising out of any use or accident. This indemnity will cover any and all costs including any professional or legal fees to defend any such claims.
• You acknowledge it is solely your responsibility to have in place full comprehensive insurance to cover yourself, your horse and your transport, including any other property that may be damaged as a result of your participation and this insurance, in addition, should extend to provide cover to all third party and public liabilities.
• Everyone must take all reasonable precautions to avoid and prevent accidents occurring and must obey the instructions of any WMFS employee or representative.
• On arena hire days, First Aid will not be provided by WMFE.
• All fees must be paid in full on booking.
• Cancellation –must be in writing, unless agreed otherwise. -if cancelled up to 7 days before the hire date, all arena hire booking (including event hire) are subject to a non-refundable deposit if cancelled.
-if cancelled 7 days or less before the hire date, all outstanding fees must be paid and all fees already paid will be forfeited.
• Due to circumstances beyond WMFE’s control, it may be necessary to change or cancel your booking. Where the change is considered major as decided by WMFE you will be offered the option to accept the change or receive a full refund of any monies paid against the booking. WMFE is not responsible for any other costs, expense or damages which may have been incurred by the client or their guest as a result of the change.
• Hirers must stick to their allocated time slot so they don’t interfere with any other bookings.
• Use of the arena is at the hirer’s risk. All hirers are advised to check arena before entering to ensure that it has been left in safe condition by the previous occupant.
• All clients are deemed responsible and must ensure full compliance with relevant Health and Safety Policies. WMFE reserve the right to halt any actions which we consider to be contrary to our Health and Safety Policy or which we consider unsafe.
• It is mandatory for all riders to wear a protective helmet to current British Horse Society standards at ALL times when mounted on site. This helmet must be fastened and well fitted. Body protectors are strongly advised and suitable footwear worn.
• Horses must be properly secured when in their wagons or trailers, ensuring the horses welfare is a priority.
• Horses must not be left tied up outside a wagon or trailer.
• Parking of cars and horse transport, including lorries and vehicles with trailers is only allowed in designated areas or a directed by WMFE representatives in the main or overspill car park.
• WMFE take no responsibility for any damage to any vehicle, lorry or associated trailer and take no responsibility for any damage or loss to any equipment or possessions which are brought onto site. The use of the car park and associated access roads is solely at your own risk.
• This is a no smoking site. Please do not smoke at any time on the site.
• All clients and their guests and customers are required to adhere to commonly accepted standards of decency and good behaviour. Racial abuse, discrimination, swearing and loud or aggressive conduct will not be tolerated. We reserve the right to refuse admission to any person without giving reason.
• No mucking out onto parking area.
• Please poo pick during/after you hire.
• Litter is to be taken home with you or disposed of in bins provided.
• Parents/guardians are fully responsibly at all times for the Health and Safety of children within their care when on site. Children under 16 must be supervised at all times by a competent adult when on site.
• Please return any equipment used back to its storage area after use unless already set up prior to hire.
• The hirer is responsible for any damage caused to the premises or equipment and must pay the total amount required to make good any such damage. Any breakages must be reported.
• Dogs must be kept on leads and under appropriate control at all times. Dogs are not allowed to run free around the site under any circumstances and are restricted to the car park area only. It is the responsibility of the dog owner to pick up dog mess and deposit in the designated bins on site.
• All hirers must bring someone with them or provide contact details in case of emergency.
• Under NO circumstances should anyone enter any areas marked PRIVATE. These areas include buildings associated with the Livery and Stud also present on site, including stable blocks and machinery store.

Affiliated shows are required to repay 50 % of the entry fees in respect of all entry cancellations which are received by the Show Organiser not later than 48 hours before noon of the day on which the first affiliated competition of the show is scheduled to start except in those circumstances outlined in Rule 79.5.
