Simple Guide to Our Refund and Transfer Policy
The thing I like least about my job is having to enforce our T&Cs. In particular, around deposits and transfers. It feels horrible to not return someone’s deposit when they can’t come, or to not let them transfer to another date. But we have come to realise that we have to have a policy that works for us and endless flexibility around refunds just doesn’t.
We have now found a system that we feel is fair to everyone.
1) Deposits are all non-refundable.
I often hear ‘your camps fill up so you can replace me’.
It is true that they usually fill. BUT it is equally true that when the balance is due, a lot of people drop out. This is not their fault – it is usually related to lame horses. But we can have up to 10 people pull out 6 weeks before camp when it is very late to fill places.
So far, we have filled most camps AND ALSO have never run a full camp!
The deposits we retain offset the losses of those empty stables when people don’t pay the balance. The £100 does not come close to covering the actual costs of those empty stables, so we retain all deposits to offset the losses of empty stables. Plus if we do have a lot of retained deposits, we prioritize refunding balances not deposits (see below).
2) The balancing payment is requested 8 weeks before camp. This becomes due 6 weeks before. If people pay at 8 weeks (or earlier) but drop out before final balance is due, we will refund the balance.
It really helps us when people are efficient so we won’t penalize you for paying early!
3) If you have paid the balance, you may sell your own place up until 2 weeks before camp to anyone aged 16+ Or to a child aged 12-16 accompanied by a supervising adult who will need to pay us a non-rider fee.
If you fill your space that is grand. We won’t charge admin fees etc. We do allow people to sell their own places, and unlike many camps you can sell to any level of rider as we are very flexible with our timetabling. So we do try to make sure we aren’t taking ‘money for nothing’ from people. Just asking that you take on the responsibility for selling a place rather than us accepting that financial risk. However, we have had people selling places literally the day before! We can’t cope with changing the timetable that late. The lessons lists will have gone to the instructors and the Great Time-Table Jigsaw can’t be broken up, to put back together in a way that accommodates a new rider so late. Therefore no places can only be sold within 2 weeks of camp, when camp closes to new bookings.
4) If payment is not paid within 6 weeks of camp, people may lose their place at camp.
People often go AWOL. It’s annoying! Please stay in touch with us. We are as flexible as possible if we know there is a problem.
5) There are no guarantees that we can refund balances BUT balances will be refunded using retained deposits, if there are enough retained payments to cover this. We will refund in order of withdrawing, so the earlier you pay the balance, the more likely you are to receive a refund.
6) After the balance has become due, we longer allow transfers to a future camp.
From our point of view a transfer is no different to giving someone a full refund and them then re-booking onto another camp. If the transferred rider ends up leaving us with an empty stable, we still have to absorb the costs of that stable. Transfers have sometimes been asked for (and given) very, very late, and those places are rarely re-filled.
We have also had people transfer 3 or 4 times – leaving us with an empty stable every time. So we no longer offer transfers more than 8 weeks from the camp date. And you can only transfer once
7) Camp closes 2 weeks before so we can do the time-table and give instructors their hours. After that no places can be sold.
